The Fourth Street Clinic Medical Assistant supervisor's role is to provide direct care to our patients, assist primary care providers as needed, and work to improve overall health outcomes and support clinic needs as described.
Principal MA Responsibilities
- Performs routine medical Assisting duties: assisting providers, tray setups (paps, pelvic, I&D or other minor procedures), charting patient care, vital signs, EKG's, urinalysis, rapid strep test, pregnancy testing, finger-stick glucose &Hgb, phlebotomy, immunizations, and injectable (intramuscular, intradermal and subcutaneous) medication administration.
- Stocking inventory of patient exam rooms, medication and immunizations, storage room, and lab area.
- Follows all CLIA, HIPAA, and OSHA guidelines.
- Report all safety concerns with staff and patients to your supervisor immediately.
- Be active in the medical assistant and nursing team, assisting staff when asked for assistance, and knowing your scope of practice.
- Log daily in the MA lab book: microscope, refrigerator temp, and centrifuge.
- Using the electronic health record to put in vital signs, lab results, orders, etc.
- Assumes responsibility for training of MA externs and volunteers.
- Capable of working quickly and efficiently under pressure. Work well with others to organize and efficiently manage medical providers' clinic schedules.
- Show sensitivity to the needs of unsheltered people while being innovative and assertive with a diverse population in various situations.
- Good organizational skills with an emphasis on accuracy, prioritization, and reliability.
- General office skills: phone etiquette, basic computer skills, and filing.
- Excellent communication skills with staff, volunteers, patients, and partnering community organizations.
- Responsible for specific duties assigned to them by supervising personnel.
- Expected to be prepared to start shift at scheduled time.
- Keeps customer service and the organization's mission in mind when interacting with all clients, co-workers, and others.
- Ensuring all patient care actions are charted correctly and accurately in the electronic health record.
- Attend weekly and MA staff meetings.
- Comply with all clinic procedures for Universal Data Set (UDS) measures and all standing orders.
- All other clinic responsibilities are included in the employee handbook.
All Medical Assistant staff are not to perform any physical assessments, including genital, breast, or other sensitive exams. MA staff are not able to administer intravenous medications in any situation.
Supervisor and Administrative Responsibilities
- Supervise the work and performance of clinic staff, including medical assistants, other support staff, and non-provider volunteers, as instructed by the MA Manager.
- Complete performance reviews of medical assistants and other support staff as directed by the MA Manager.
- Provide input in the development of clinical procedures and setting clinic goals.
- Ensure adequate administrative support to Providers, Nurse Practitioners, and Physician Assistants within the MA scope of practice.
- Demonstrates interpersonal skills with all staff to support smooth office operations and teamwork to generate a positive attitude among FSC staff.
- A proactive approach to managing the MA pool and individual staff epic in baskets.
- Assist with the coordination of work for special projects, including but not limited to preventive health and Universal Data SET (UDS) Improvement (mammogram, FIT testing, and pap clinic). The Medical Assistant Supervisor must work collaboratively with clinic staff on programs to improve patient outcomes. Assist the organization in quality improvement activities as assigned.
- As needed, assist in inventory, ordering, stock, and maintenance of medical and laboratory supplies.
- Ensure payroll completion at assigned times, including accurate timecard punches.
- Implementing new processes, administrative projects, and other duties as assigned by the MA Manager.
- Oversee and train new and existing staff as directed by the MA Manager to increase efficiency and quality of services provided.
- Participate in staff training for weekly, specialty, and all staff meetings.
- Ensure staff competency on clinic policy and procedures for the MA role in clinic hub, outreach sites, special events, and specialty clinics.
- Complete clinic scheduling for MA and Lab staff, managing approved time off, staff schedule requests, and emergency calls. Provide backup for sick or vacation leave for medical assistants or other support staff when needed, in conjunction with the MA Manager. This may require the supervisors' regular clinic schedule changes to ensure that clinic coverage meets minimum safety standards.
- Proves backup support to the medical assistant team which includes all functions of a medical assistant.
- Active management of staff hours to flex as needed to ensure clinic optimal clinic coverage and reduce downtime.
- Demonstrates ability to communicate with all levels of clinical staff and providers.
- Able to execute daily job duties with an understanding of issues that need to be executed by the MA Manager or higher level of supervision.
- First-line problem-solving skills with the ability to listen, understand, and/or solve provider issues before they become more serious.
- A clear understanding of clinic policies and procedures to increase staff satisfaction and productivity levels.
- Ability to consistently demonstrate the highest level of performance and behavior standards.
- Ability to be honest and straightforward, dealing with issues fairly and consistently.
- Ability to be a team player, support and assist team members, and be available to help and learn from the team. Keep an open mind to feedback and earn the trust of staff and providers.
