Job Summary

The Event Assistant will support the planning, coordination, and execution of events. This role involves administrative tasks, on-site assistance, and ensuring all event logistics run smoothly. The ideal candidate is detail-oriented, organized, and thrives in a dynamic environment.

Key Responsibilities

Pre-Event Coordination:

• Assist with event planning activities, including scheduling, vendor coordination, and budget tracking.
• Prepare event materials such as signage, agendas, and attendee lists.
• Communicate with clients, vendors, and team members to confirm event details.

On-Site/Event Day Duties:

• Set up and break down event spaces, including decorations, equipment, and materials.
• Greet and assist guests, speakers, or performers as needed.
• Monitor event flow and address any issues promptly.
• Ensure compliance with safety and organizational standards.

Post-Event Tasks:

• Collect feedback from attendees and stakeholders.
• Organize and archive event documents, including contracts and photos.
• Assist in reconciling expenses and creating post-event reports.

General Support:

• Maintain inventory of event supplies and equipment.
• Perform other duties as assigned to support the event team.

Skills, Knowledge and Expertise

• High school diploma or equivalent (Bachelor's degree in event management, hospitality, or related field preferred).
• Strong organizational and time management skills.
• Excellent verbal and written communication abilities.
• Ability to work in a fast-paced environment and manage multiple tasks simultaneously.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software (if applicable).
